The 12 Checks of Christmas: Ensuring Control, Clarity and Compliance

December is one of the few moments in the aviation calendar where operations naturally slow just enough to step back and look at the health of your systems. For Part 145, Part 147 and CAMO teams, it’s an ideal opportunity to confirm that the controls, records, and interfaces you rely on are working exactly as intended.

A year-end review doesn’t need to be complex. In fact, 12 simple checks - done calmly and with intent - can significantly strengthen your compliance posture before January arrives.

Start with your people

A good first step is revisiting training, recency, and authorisation records. A clean competence picture shows exactly who can do what and where gaps may appear in the coming months. While you’re there, look ahead: what is expiring in the next 90 days? Preventing a single lapse in training or authorisation can save a substantial amount of disruption in Q1.

Tidy the actions that matter

Year end is a natural point to close the loop on CAPAs. Take a moment to verify what’s still open, what needs evidence, and what requires effectiveness checks. Rolling old actions into a new year rarely ends well.

The same applies to Management of Change. A quick review of the MoC log - ensuring each change has a named owner, an up-to-date risk assessment, and clear closure criteria - gives you confidence that change has been controlled, not assumed.

Make sure risk is still moving

Risk registers are only useful when they’re alive. If reviews have stalled or no next-review dates are logged, December is the right moment to reset the cadence. A brief, well-structured update keeps your SMS responsive and avoids the drift that auditors immediately notice.

Check the visibility of your evidence

Evidence is where many organisations lose clarity without realising it. A short review of your evidence index - confirming the right revision, the right location, and the right “last verified” date - often exposes small errors before they become findings. It’s a simple exercise that pays back quickly.

Bring documents back under control

Controlled documents are another area worth a quick scan. Look for old versions still circulating, duplicated files, or forms living outside controlled locations. Reinstating a single source of truth removes one of the most avoidable finding categories.

Walk the 145 ↔ CAMO interface

Some of the most consequential issues live between departments rather than within them. Reviewing the hand-offs between Part 145 and CAMO - work-pack completeness, AD/SB tracking, reliability feedback, and named responsibilities - is often where clarity is either reinforced or lost. A few targeted checks here can prevent several avoidable findings later.

Verify your capability picture

Facilities and tooling deserve a moment of attention too. Confirm calibration, servicing, and capability alignment with current ratings. Having a clear view of what’s ready and what needs attention supports both audit readiness and operational planning.

Look ahead, not just behind

Year end is also the right moment to publish next year’s internal and independent audit plan. When oversight is visible early, teams prepare better, scheduling becomes smoother, and sampling remains balanced across the year.

It’s also worth reviewing your SMS trends over the last 12 months - not individual reports, but the patterns. Recurring themes often highlight where the system is working well and where small improvements will have the most impact.

Finish clean

Finally, take the opportunity to archive the year neatly: closed actions, completed MoCs, evidence records, and updated indexes. Starting January with a clean slate is one of the simplest ways to maintain predictable compliance for the year ahead.

Why a December review works

These checks aren’t about adding work. They’re about gaining control, reinforcing clarity, and strengthening compliance at a moment when the pace of operations allows you to see the system more clearly. A small investment now creates a more predictable audit season, a more confident SMS, and fewer surprises in the months ahead.

Closing the Loop

At NS Aero, we help organisations build and maintain systems that make readiness the natural outcome of daily work - not a last-minute scramble.

If you’re planning a year-end review or preparing for next year’s audits, we’ll help you approach it with structure, visibility, and control.

Our promise: We make almost ready, audit ready.
